we send one email a day

every status change used to be an email. triage twenty cards, someone gets twenty mails. now hoot sends one digest a day, with where each card ended up.

i triaged twenty cards on a monday morning.

the person who posted most of them got an email for every one. approved. in progress. approved again. done.

that's the whole bug. not the loop. not the status. the inbox.

closing the loop was supposed to feel like someone listened. twenty mails in ten minutes feels like a bot broke.

so i batched it.

one mail, once a day

every morning at 8:30 utc, hoot looks at what moved since the last digest.

each person gets one email per project. two short lists:

  • shipped — the cards they asked for or voted on that went to done
  • status changes — everything else that moved, with where it landed

if you rejected a card, the reason you wrote is right there under it. you already had to write one. now it goes somewhere.

nothing to set up. it runs for every project.

only where it ended up

you move a card three times in a morning. the digest shows the last one.

you move it to in progress, change your mind, move it back. the digest shows nothing. nothing happened, from their side.

triage is messy. the person who asked doesn't need to watch you think.

pending tells no one. on purpose.

a card going back to pending is not news. it's you tidying.

so pending emails nobody.

done still goes to the author and every voter. that's the ship. that's the point.

approved, in progress, rejected go to the author only. voters signed up to hear it shipped, not to follow every column.

if a morning run gets missed, the next one picks it up. nothing goes out twice.

why this

i don't want people to unsubscribe from the loop.

one email a day is something you read. twenty is something you filter.

the agent works the same way. when move-card or publish-changelog runs, the mcp tells your agent the same thing: they'll hear about it in the next daily digest.
